Privacy Policy

The University of Tokyo (hereinafter referred to as "the University") complies with all applicable laws and gives maximum consideration into protecting the user's private information, for the provision of the "MOCHA" application (hereinafter referred as "the app") based on the policy below.

1. Personal data collected and uncollected by the University through the app

  1. Data collected by the University The University will collect the following personal data

    • User's name
    • User's student ID
    • User's device identifiers
    • User's ECCS Cloud Email address
    • Location information of the use's device(s) (smartphone/tablets)
  2. Data uncollected by the University The University will not collect any other personal information listed in (1)

2. Purpose for and methods through which the University uses information collected by the app

  1. User's name
    The collected user's name will be used to confirm the visitors while joining the "Space Reservation Channel (Laboratory version)".
    Unless the user joins the particular channel, relevant information will not be used at all.

  2. User's student ID The user's student ID may be used to identify each person in the Reservation Channel (Laboratory version). Unless the user follows that particular channel, their student ID data will not be used.

  3. User's common ID The user's common ID may be used for the administrator to identify the reservation holder in reservation channel (Laboratory version). The common ID (User ID of UTokyo Account, or the 10 degit number indicated on the lower right corner of Student ID card) will exclusively acquired from the user's ECCS Cloud Email Address, using Google People API, when the user follows the particular channel. However, Google People API will not acquire any other information than the common ID from the ECCS Cloud Email Address.

  4. User's device indentifiers Device identifiers are uniquely created according to the ECCS Cloud Email address provided by the user when starting the use of the app. It will be linked and collected with the location data.

  5. User's ECCS Cloud Email address The user's ECCS Cloud Email address will be used to inform the user in the contact notification service. Only in this circumstance that the user's device identifiers and the user's ECCS Cloud Email address will be matched by the administrator. Furtheremore, the user may delete their ECCS Cloud Email address by withdrawing from all channels and submitting the application form for deletion.

  6. User's location data The user's device location data will be detected by Bluetooth connection between beacons placed in campus and the user's device. The particular location data will be linked with the identifier created in the App and will be uploaded to the server to be practically used for close contact notification, space reservation, and other services provided by the app. Furthermore, the location data collected from the App may be provided to third party service providers to improve detection accuracy, after secure data anonymization to prevent identification of each users. Unless the user joins any channel, location information will not be uploaded to the server. The user may apply to delete all location data on the server after withdrawal from all channels and submitting the application form for deletion.

3. Disclosure of personal data collected by the app

  • The App may disclose personal data obtained from the service, on particular channels or the official website of MOCHA, (https://mocha.t.u-tokyo.ac.jp) only in the following circumstances. However, this excludes the anonymized personal data defined in the Terms of Service of the app.
  1. Campus Congestion Statistics Channel As users follow this channel, the congestion statistics will be analyzed according to each individual user's location data, and the statistics will be shown in the App as well as on the official website of MOCHA.

  2. Reservation channel (lecture hall version)
    As users follow this channel, the congestion statistics for the targeted spaces in this channel will be analyzed according to each individual user's location data, and will be disclosed in the App exclusively to users following this channel. Also, the reservations of lecture halls by users will be disclosed to the channel administrator.

  3. Reservation Channel (laboratory version) As users follow this channel, the congestion statistics for the targeted spaces in this channel will be analyzed according to each individual user's location data, and will be disclosed in the App exclusively to users following this channel. The history of number of people in the targeted spaces will be exclusively disclosed to the users following this channel. The reservation(s) of laboratories by users will be exclusively disclosed to the channel administrator. Furtheremore, the user's names will be shown exclusively to participants of the channel when the users are present in the reserved room.

  • Consent pertaining to the use of the App may be retracted at any time by a prescribed procedure through the app.
  • In the event that the user retracted its consent through the stated procedure, all information of the App recorded in the user's device will be irrecoverably deleted, as well as the University will inrecoverably delete all of the information related to the user on the server. However, this excludes the anonymized personal data defined in Terms of Service of the app.

5. Disclosure and suspension of use of personal data

  • In the event that the user requests a disclosure of personal data, in accordance to the Act on the Protection of Personal Information and other laws or regulations regarding personal data, the University will swiftly handle requests received from users within a reasonable period of time and scope, once the the University has confirmed the very individual's identity. However, this excludes the events which the University is not responsible for disclosure under the Act on the Protection of Personal Information
  • The University will properly handle requests to amend or suspend the use of obtained personal data which has been disclosed by the request of the user, according to the law and the Privacy Policy of the University.

6. Management of the user's information

  • The University holds appropriate regulations and committee that safely manages personal data and the systems that processes them based on the "UTokyo Basic Policy for Information Security".
  • In operating the system(s) for the app, the University takes appropriate information security measures against improper access, computer viruses, malware and etc., to avoid of any problems in ensuring the privacy of users. In the even that the system(s) for operating the App is partially outsourced to other organization, the organization will be required to take appropriate information security measures.

7. Deletion of personal information no longer in need

  • Personal information no longer in need, such as personal data of users who has not used the App for more than 6 months, will be immedeately deleted securely and appropriately.
  • The University uses Google Analytics to measure the services provided by the app, in order to improve them. The university collects the following data through user's device identifers.

    • Which screen the user has opened
    • Reach of push notifications and whether the user has opened it or not
    • Events of the App (Updates, deletion, start up and closure of the app, OS updates)
    • Data of the device used (OS, type of the device)
    • Crash logs (information collected when the App crashes)
  • All of these data are collected anonymously and will not identify individuals. Please refer the Terms of Service for Google Analytics and the Google Terms of Servicepage for the precise methodology of how these data are collected.

9. Amendment procedures of the Privacy Policy

  • The University will amend the Privacy Policy if necessary. However, in the event that the changes in the Privacy Policy legally require consent from users, the amended Privacy Policy will only apply to those who have agreed to the amendment in the particular method determined by the University. It will be noted that the University will immediately post and notify users on the App as well as the website when there is an amend to the Private Policy, and the amended policy will be in effect the moment after its post.

10. Compliance with applicable laws

  • The Privacy Policy of the App complies with all applicable laws and regulations related to the protection of personal data and the University strives to continuously review the content for its improvement.
